Field-to-Finance Reconciliation for Oilfield Chemical Services
By combining AI-powered document processing, Microsoft Fabric, and Power BI, Smartbridge helped an oilfield chemical services provider automate field delivery reconciliation, reduce manual processing time by approximately 88%, and strengthen revenue protection.
Smartbridge partnered with an oilfield chemical services provider to modernize how field delivery records are captured, validated, and reconciled against billing data.
The organization relied on scanned, partly handwritten delivery sheets and manual comparisons against its NAV accounting system. This time-consuming process made it difficult to identify unbilled work, resolve discrepancies, and maintain accurate financial records.
Smartbridge developed an automated field-to-finance reconciliation solution using Azure AI Document Intelligence, Microsoft Fabric, Power Automate, and Power BI. The solution digitizes delivery records, identifies billing discrepancies, and provides accounting teams with a centralized workflow to review and resolve exceptions before month-end close.
Key Challenges & Solutions
Preventing Revenue Leakage from Unbilled Field Work
Impact Weight: 5 – Critical (Revenue Protection & Financial Accuracy)
Problem
Field chemical deliveries and treatments were recorded on handwritten documents, while billing transactions were managed separately in NAV. Accounting personnel had to manually compare these records to confirm that completed work was invoiced accurately.
Without an automated reconciliation process, services performed in the field could go unbilled. Incorrect chemical quantities, dates, or locations could also lead to inaccurate invoices, customer disputes, and additional accounting work.
Discrepancies were often identified late in the billing cycle or after month-end close, making corrections more difficult.
Solution & Outcome
Smartbridge developed an automated reconciliation process that compares digitized field delivery records against NAV billing data.
Using Microsoft Fabric and SQL-based comparison logic, the solution evaluates individual fields and identifies discrepancies such as missing billing orders, incorrect quantities, chemical mismatches, and inconsistent dates or locations.
Accounting personnel can now identify exceptions during the billing cycle and address potential revenue leakage before invoices are finalized.
Standardizing Inconsistent Handwritten Field Documents
Impact Weight: 5 – Critical (Data Quality & Process Automation)
Problem
Field teams used three different delivery and treatment sheet formats, each containing important operational information in different layouts.
Many documents were handwritten, scanned, or spread across multiple pages. Variations in formatting, handwriting, dates, and numerical values made automated extraction difficult.
Accounting personnel depended on manual interpretation and data entry, limiting consistency and making the process difficult to scale.
Solution & Outcome
Smartbridge implemented an AI-powered document processing pipeline using Azure AI Document Intelligence and Microsoft Fabric.
Power Automate captures emailed PDF documents and transfers them into cloud storage. Azure AI Document Intelligence extracts text and tabular data, while Python-based processing classifies document formats, corrects common extraction inconsistencies, and standardizes the information.
The solution consolidates all three document formats into a unified 24-column data structure.
Multi-page documents retain their original page references, allowing accounting teams to trace extracted records back to their source documents. Processing status is also tracked so unsuccessful extractions can be identified and addressed.
Reducing Manual Reconciliation Effort
Impact Weight: 5 – Critical (Operational Efficiency)
Problem
The accounting team previously spent approximately 16 hours manually reviewing scanned field delivery records and comparing them against billing transactions.
This repetitive process consumed valuable staff time, delayed discrepancy identification, and made it difficult for employees to focus on more complex accounting activities.
As document volumes increased, the organization faced additional pressure to maintain accuracy without expanding manual reconciliation efforts.
Solution & Outcome
Smartbridge automated document capture, extraction, data standardization, and discrepancy detection through an integrated six-stage workflow.
Rather than reviewing every delivery sheet individually, accounting personnel now use a centralized Power BI report that highlights records requiring attention.
The report presents color-coded discrepancy flags, helping employees quickly distinguish exceptions from successfully matched transactions.
Early results show reconciliation effort declining from approximately 16 hours to 2 hours, an estimated 88% reduction.
Improving Billing Visibility and Auditability
Impact Weight: 4 – High (Governance & Operational Transparency)
Problem
Manual reconciliation made it difficult to maintain a consistent record of which transactions had been reviewed, which discrepancies remained unresolved, and what corrections had been made.
With information distributed across scanned documents and accounting records, tracking individual deliveries or verifying past decisions required additional investigation.
This limited visibility increased month-end reconciliation challenges and made it harder for management to monitor billing accuracy.
Solution & Outcome
Smartbridge built an exception-management workflow directly into Power BI, giving accounting personnel a centralized view of reconciliation status.
Users can review discrepancies and mark them as resolved with a single action. Writeback functionality updates the underlying data, allowing resolved records to be removed from the outstanding exception list while maintaining an audit trail.
The solution also creates a searchable digital history of field deliveries, including drivers, wells, leases, chemicals, quantities, and service dates.
Accounting, operations, IT, and management teams now have more consistent access to the information needed to monitor activity and support financial controls.
Results & Value Delivered
The solution replaced a labor-intensive reconciliation process with a standardized, AI-enabled workflow that connects field documentation directly to billing validation.
Key outcomes include:
Beyond efficiency improvements, the solution strengthens the connection between field operations and finance. Accounting teams spend less time reviewing routine transactions, operations gains a searchable history of completed services, and leadership receives a clearer view of billing accuracy and outstanding exceptions.
By identifying potential revenue leakage within the billing cycle, the organization can act on discrepancies sooner and reduce the financial risks associated with missing or incorrect invoices.
Looking Ahead
The solution establishes a scalable foundation for additional field-to-finance automation across the organization.
New delivery sheet formats, field regions, and document types can be incorporated through targeted updates without rebuilding the entire processing framework.
The architecture also provides a repeatable approach for other document-heavy workflows that require information to be extracted, validated against enterprise systems, and reviewed by business teams.
By combining AI-powered extraction, Microsoft Fabric, automated reconciliation, and Power BI writeback, Smartbridge helped turn disconnected field records into a more efficient and accountable revenue operations process.
The result is a stronger connection between work completed in the field and revenue accurately recorded by the business.
